Job Summary:

We are seeking a highly organized and detail-oriented Office Coordinator to join our team. The ideal candidate will be responsible for managing day-to-day administrative tasks, coordinating office activities, and ensuring a smooth workflow. The Office Coordinator will play a key role in fostering a positive and efficient work environment.

Responsibilities:

Administrative Support:

  • Provide general administrative support to staff and management.
  • Assist in managing schedules, appointments, and travel arrangements.
  • Handle incoming calls, emails, and inquiries with professionalism and efficiency.

Facility Management:

  • Oversee office operations and ensure a clean and organized workspace.
  • Manage office supplies inventory and place orders as needed.
  • Coordinate maintenance and repairs for office equipment and facilities.

Meeting Coordination:

  • Schedule and coordinate meetings, conferences, and special events.
  • Prepare meeting materials and ensure necessary resources are available.
  • Assist in the setup and breakdown of meeting spaces.

Communication:

  • Serve as a point of contact for internal and external communication.
  • Distribute internal announcements and updates as needed.
  • Facilitate effective communication within the team and across departments.

Documentation and Record-Keeping:

  • Maintain accurate and up-to-date records, files, and databases.
  • Assist in preparing reports and presentations as requested.
  • Ensure confidentiality and security of sensitive information.

Team Collaboration:

  • Collaborate with various departments to facilitate cross-functional tasks.
  • Foster a positive and inclusive office culture through team-building activities.
  • Act as a liaison between staff and management for effective communication.

Qualifications:

  • Proven experience as an Office Coordinator or in a similar administrative role.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Proficient in Microsoft Office Suite and office management software.
  • Attention to detail and a proactive approach to problem-solving.
  • Ability to work independently and as part of a team.
  • Knowledge of basic accounting principles is a plus.

Education and Experience:

  • High school diploma or equivalent; associate or bachelors degree preferred.
  • Previous experience in office administration or coordination roles.
